Currently, our team is seeking an experienced and qualified candidate for our Office Coordinator. This individual must possess strong multitasking, organizational, and people skills.
The Office Coordinator is a year-round full-time position and reports directly to the Accounting Manager. This person would create a positive first impression of Esch Landscaping by greeting visitors, answering phone calls, and performing follow-up client phone calls in addition to coordinating office tasks. This would also include filing paperwork, assisting with data entry, and keeping the office tidy and organized to be as efficient as possible.
Communicate with clients, answer phone calls, greet visitors, and assist with office mail, emails, and faxes.
Update and maintain the client contact list.
Assist our Project Coordinators in the sales process. This could include preparing general guidelines and warranties for clients, writing client letters, sending out and writing responses for client surveys, following up on client proposals, assisting in the preparation of client proposals, and assist in weekly production and sales meetings.
Assist with office procedures as necessary throughout the year, which could include: sending letters to company’s and governmental officials; preparing general documents; setting up client and vendor files, documenting procedures; and creating forms to support internal procedures.
Open and close the office as needed, inventory and order office supplies, and maintain team member’s uniform and clothing records.
Enter job costing data, including job materials and equipment usage, into tracking systems.
Data entry into QuickBooks, including, but not limited to: accounts receivable, accounts payable, and daily time entry.
Be a member of our Marketing Team and assist with developing weekly, monthly, and annual marketing plans, and assist in execution of such plans on social media or our website.
A high school degree or GED is preferred
Customer service experience
Office management knowledge
Business office equipment and Microsoft Office experience (knowledge of Word and Excel is a must)
